Deposit invoice, project and team, on their own.
A second offer, sent now or after your approval.
Friendly reminders that stop when they answer.
Build it once.
Watch it run.
Open Automations, add your steps under each answer, and save. This is the whole thing.
- 1Start from the Yaai default
- 2Add steps under each answer
- 3Set each step on the side

It begins when a proposal goes out.
Every proposal you email or share by link starts the workflow. Narrow it to proposals over an amount if you prefer.
Yaai waits for the answer.
Accepted and declined run the moment your client answers. No reply runs after the number of days you choose, or when the proposal expires.
The work starts itself.
A deposit invoice goes out, the project is created with a stage for every item, and your teammate gets the work by email.
A second chance, handled.
Send a copy with a discount, straight away or after your approval. If they accept it, the invoice and project follow on the new price.
A friendly nudge, on time.
Reminders go out on your schedule, never after the proposal expires, and stop the moment your client answers.
You see every step.
Run history lists what Yaai did for each proposal. Stop one at any time, pause the workflow, or reset it to the Yaai default.
Small steps.
A lot less chasing.
The + between two blocks only offers what makes sense there, so the workflow always reads the right way.

Yaai’s basics stay on
You are still emailed when a client answers, and reminders still stop. Your steps come on top.
Nothing happens twice
Each step remembers what it did, so a retry never sends the same email or creates the same invoice twice.
Pause at any time
Switch the workflow off and nothing new runs. Your steps are kept for later.
Reset, then restore
Go back to the Yaai default in one click. Changed your mind? Restore your version.
01Do I have to use automations?
No. Without a saved workflow, Yaai works exactly as before: it emails you when a client answers and sends the reminder you set on each proposal.
02Can I check an invoice before it goes out?
Yes. Choose “Wait for my approval” and Yaai prepares a draft and emails you. Nothing reaches your client until you send it.
03What if I change my mind?
Pause the workflow at any time, or reset it to the Yaai default. Your version is kept, so you can restore it.
04Can a step run twice?
No. Every step remembers what it already did, so a retry never sends the same email or creates the same invoice twice.
05Who can change automations?
The workspace owner. In a Studio workspace, the owner and partners.
06Which plans include automations?
Every plan, including the free trial. Automations create and send documents, so they count toward your plan like anything you send yourself.
A little less managing.
A lot more creating.
Give your best work the space it deserves.
