Privacy Policy

How information moves through your Yaai workspace.

Last updated: October 9, 2026
01

Who this policy covers

This policy describes how Yaai, available at yaaistudio.com and operated by YEA VIRAL FOR MARKETING AND PR in the United Arab Emirates, handles information when you visit the website, use a workspace, or receive a document, invitation or notification through Yaai. When a business adds your information to its workspace, that business determines why it uses your information. Contact that business about its own privacy practices.

02

Information we process

Depending on the features you use, information may include your name, email address, profile and business details; client names, email addresses, phone numbers and communication preferences; proposals, contracts, signatures and signing records, invoices, projects, tasks, expenses and uploaded files; meeting details, participant information, transcripts and generated notes; support conversations; and technical records such as access, delivery, error and security logs. Connected services also provide the identifiers and authorization credentials needed for the integration you enable.

03

How information is used

Yaai uses information to provide and secure your account and workspace, organize client work, share documents and collect responses, schedule meetings, send requested service notifications, manage subscriptions, respond to support requests and diagnose problems. Workspace owners and authorized team members can access information according to their roles and permissions. Recipients can access information you share with them, including through document links. Share these links only with intended recipients.

04

WhatsApp notifications

If a workspace sends you a WhatsApp notification, Yaai processes your phone number, the information included in the approved message template, and delivery or response information. Notifications may include your name, the sender’s name, a document or meeting description and a link. Meta/WhatsApp processes this information to deliver the message under its own terms and privacy policy. Workspace users should send WhatsApp notifications only to people who expect to hear from them. Reply STOP to the Yaai WhatsApp sender to stop further Yaai WhatsApp notifications to that number. A suppression record is kept to respect that choice. You may also ask the business that contacted you to update your preferences.

05

Google user data

If you choose to connect Google Calendar & Meet, Yaai asks Google for two permissions: your Google account email address (userinfo.email), to show which account is connected, and access to calendar events that Yaai creates (calendar.events.owned), to create, read and delete the calendar event and Google Meet link for a meeting you schedule in Yaai. Yaai does not read, change or delete other events in your calendar, and does not access your Gmail, contacts or files. Google returns a refresh token, which Yaai stores encrypted and uses only to manage those meeting events; the event ID and Meet link are saved with the meeting so clients receive the link. Google user data is not sold, not used for advertising, not used to train AI models, and not shared with anyone except as needed to provide this feature or when required by law; people do not read it unless you ask for support, it is needed for security, or the law requires it. You can disconnect at any time in Settings > Connections, which revokes Yaai’s access with Google and deletes the stored token; you can also remove access from your Google Account permissions page. Yaai’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements (developers.google.com/terms/api-services-user-data-policy).

06

Meetings and AI features

When enabled, meeting assistance can involve recording or transcription by Recall.ai, and sending transcript content to OpenAI to generate notes. Meeting organizers are responsible for informing participants and obtaining the required recording permission. Ask Yaai sends your prompts, conversation context and relevant workspace information available under your permissions to OpenAI to answer your questions. Avoid including information unnecessary for the task. AI output may be inaccurate and should be reviewed before use.

07

Service providers and integrations

Yaai uses Cloudflare for hosting and storage, Resend for email delivery, Stripe for subscription payment processing, and Meta for WhatsApp notifications. Optional features may use Google Calendar/Meet, Recall.ai and OpenAI. These providers receive information needed for the relevant function. Payment card information entered in Stripe’s payment flow is handled by Stripe; Yaai uses subscription and payment-status information to manage access. Connecting an integration authorizes the corresponding data exchange. Providers may process information in countries different from yours. Their own privacy notices describe their handling of that information.

08

Cookies and account sessions

Yaai uses only essential cookies and similar browser storage for account sessions, security and interface preferences. It does not use advertising, analytics or tracking cookies. Blocking necessary cookies may prevent sign-in or other account features from working. You can manage cookies and site storage through your browser settings. The Cookie Policy at yaaistudio.com/cookies lists each cookie, what it does and how long it lasts.

09

Retention and security

Information is retained as needed to operate the service, maintain workspace records, resolve support or billing issues, prevent abuse and meet applicable obligations. Retention depends on the type of information and the purpose for which it is held. Deletion requests may require identity or authority checks; some billing, security, consent or suppression records may need to be retained. Yaai uses access controls and protected server-side credential handling, but no online service can guarantee absolute security.

10

Your choices and deletion requests

You can update information through available account and workspace controls and disconnect integrations through their settings or the connected provider. For access, correction, export or deletion requests, contact Yaai Support using the link below and identify the account and information concerned. If your information was added by a Yaai customer, contact that business first; it controls its client records and can coordinate a request with Yaai. Revoking an integration prevents future authorized access but does not by itself delete information already saved in the workspace. Rights and exceptions depend on applicable law.

Updates to this policy

This page may be updated as the service changes. The date below identifies the latest update. Material changes may also be communicated through the service or other appropriate channels.
