Terms of Service
The agreement between you and Yaai when you use the service.
Last updated: October 6, 2026Agreeing to these terms
Yaai is operated by YEA VIRAL FOR MARKETING AND PR, a company in the United Arab Emirates (“Yaai”, “we”). These terms apply when you create a Yaai account, use a workspace at yaaistudio.com, or open a proposal, contract, invoice, form, booking page or digital card shared through Yaai. By using Yaai you agree to these terms and to the Privacy Policy. If you use Yaai for a company, you confirm that you may accept these terms for it.
Your account and sign-in
Yaai has no passwords. You sign in with a six-digit code sent to your email address; each code expires after 5 minutes and allows a limited number of attempts. Keep your inbox secure and never share a code. You are responsible for activity in your workspace, including activity by team members you invite. Tell us through Yaai Support if you believe someone has accessed your account without permission.
Free trial
A new individual workspace starts with a free trial. No card is needed. The trial length and its limits are shown on the pricing page when you sign up; today they are 3 proposals, 2 active projects, 3 invoices, 3 contracts and 30 minutes of AI meeting notes, with meetings of up to 30 minutes. When the trial ends you can still sign in and view your records, but you need a plan to create, edit or send.
Plans, seats and billing
Individual plans (Starter, Pro and Advanced) are billed monthly in advance through Stripe, and each includes the monthly proposals, active projects and AI note hours listed on the pricing page. Studio, for teams, is billed per seat each month with a minimum of 3 seats, including you. Extra AI hours are a one-time purchase that is valid until the end of the current billing cycle. Plans renew automatically until cancelled. You manage or cancel your plan from Settings > Plan & Billing through the Stripe billing portal; after cancelling, access continues until the end of the period you paid for. If a payment fails, the workspace becomes view-only until billing is resolved. Fees already paid are not refunded except where the law requires it. Prices are shown in US dollars, and we will tell you before a price change applies to your plan.
Your content
You keep ownership of everything you add to Yaai, including client details, proposals, contracts, invoices, projects, files, forms and meeting notes. You give Yaai permission to store, process and display that content only as needed to run the service for you and the people you share it with. You confirm that you have the right to add the information you upload, including personal information about your clients and their contacts, and that you will use it lawfully.
Sharing links with clients
Proposals, contracts, invoices, forms, project stages and booking pages are shared through private links. Anyone who has a link can open it and respond, so send links only to the intended people. Opening a shared document records a view for you. You can withdraw a document to stop further responses.
Proposals, contracts and signatures
You decide what your proposals, contracts and invoices say, and you are responsible for them. When a client approves a proposal, Yaai records the name they type, the time and their comment. When someone signs a contract, Yaai records the typed name, their capacity, the time, a one-time code sent to their email, a fingerprint of the document version they signed and a fingerprint of the request. Yaai is not a party to any agreement between you and your clients, and does not give legal, tax or financial advice. The contract templates in Yaai are starting points; review them for your own situation.
Invoices and payments
Yaai prepares and tracks invoices but does not collect money from your clients. Clients pay you directly using the payment details you put in your documents. Marking an invoice as paid records your own confirmation of the payment. Finance totals in other currencies are estimates that use published daily exchange rates, not bank rates.
Email, WhatsApp and meetings
Messages you send through Yaai come from Yaai’s sending address on your behalf, with replies going to your email. Send them only to people who expect to hear from you. Daily sending limits apply to protect delivery. The same goes for WhatsApp notifications, and a contact can reply STOP to opt out. Google Meet links are created in the Google account each person connects, and that person can disconnect it at any time.
AI features
Ask Yaai and AI meeting notes use AI providers named in the Privacy Policy. If you use the meeting assistant, a visible notetaker joins the call to record audio for transcription, and you must tell participants and get their permission first; Yaai asks the client for that permission when they book. AI answers and notes can be wrong, so review them before relying on them or sending them to anyone.
Teams and connected apps
In a Studio workspace, the owner decides who is invited and what each person can see and do. Members can only reach the projects and records their role allows. You can also connect AI assistants to your workspace; a connected app can read and prepare changes under your account, and changes are applied only after you confirm them. You can revoke a connection at any time.
Acceptable use
Do not use Yaai to send spam or misleading messages, to collect information you are not allowed to collect, to impersonate someone, to upload harmful code, to break the law or the rights of others, or to try to access another workspace. Do not overload, probe or interfere with the service. We may limit or suspend a workspace that puts the service or other people at risk, and we will tell you why when we can.
Availability and changes
We work to keep Yaai available and your data backed up, but the service is provided as it is and may sometimes be interrupted for maintenance or reasons outside our control. We may add, change or remove features. When a change materially reduces what your paid plan includes, we will tell you in advance.
Deleting records and ending your use
You can stop using Yaai at any time. Deleting a record is permanent; when a record has linked items, you choose whether to delete them too or keep them. You can ask Yaai Support to close your workspace or to export your data. We may close a workspace that breaks these terms or stays unpaid after a reminder. Some billing, signing, consent and security records may be kept where the law or the protection of others requires it, as the Privacy Policy describes.
Liability
To the extent the law allows, Yaai is not liable for indirect or consequential losses, such as lost profits or lost business. Our total liability for any claim relating to the service is limited to the amount you paid Yaai in the twelve months before the claim. Nothing in these terms limits liability that cannot be limited by law.
Governing law
These terms are governed by the laws of the United Arab Emirates as applied in the Emirate of Dubai. Any dispute about these terms or the service will be handled by the courts of Dubai, unless the law where you live gives you a right to bring the claim elsewhere.
Changes to these terms
We may update these terms as Yaai changes. The date at the top shows the latest version. If a change is significant, we will tell you by email or in the workspace before it applies. Continuing to use Yaai after a change means you accept the updated terms.
